Are you tired of plugging official letters from the Ayuntamiento into Google Translate, fearing a frozen Spanish bank account, and paying intermediaries every time you need to solve a basic bureaucratic issue? La Cotorra decided to investigate how to use AI as a personal assistant for domestic and administrative matters if you don't yet speak Spanish. Addressing these questions is Nelly Orlova, a tech entrepreneur, founder of the startup and investor platform InnMind.com, and venture capital consultant. She lives in Spain and writes about how AI and other technologies work in real life.
As someone who has worked in technology and innovation for decades, I could talk about how AI is changing global markets. Но this article is not about startups or the technologies of the future. This is a text for every expat who has found themselves in Spain without fluency in Spanish and faces daily struggles because of it.
Until recently, being an immigrant who didn't speak the local language meant constantly paying a "language tax." Need to rent a flat? You go to an agent because you can't contact agencies yourself. Plumbing broke in your rented apartment? You look for someone to help navigate the lease and talk to the landlord. Received a "letter of happiness" from the tax office (Hacienda) or the city hall (Ayuntamiento) and don't understand a word? Panic sets in, and you pay a gestor or middleman just to understand what they want and to check if you've been fined. You are constantly dependent on someone else's time, mood, and greed.
It’s not just about the money flowing to intermediaries. It’s about the constant dependence on others for the simplest tasks: cancelling insurance, making a doctor's appointment, downloading a certificate, contesting a fine, or enrolling a child in school. A person used to being a capable adult suddenly loses their autonomy.
A couple of years ago, this was an inevitable evil of expat life. Now, everything has changed.
Expats now have a tool that doesn't just translate words but explains the structure of local reality, becoming a pocket assistant for all matters of local life and daily routine.
This tool is AI, or neural networks. While a standard Google Translate gives you a literal translation, a neural network can explain the essence of what happened specifically in your situation.
Today, ChatGPT can be used in a wide range of expat scenarios. According to official data from March 2026, it has over 5 billion monthly users, with the basic paid version costing roughly €20 per month. It’s not just about ChatGPT: you can use Claude, Gemini, DeepSeek, or any other AI with equal success. This story isn't about the networks themselves, but about how to use them to improve an expat's quality of life in Spain if your language level is currently limited to "hola" and "gracias."
Below are several real examples where AI saved my nerves and money and restored my autonomy despite a chronic lack of language skills.
The Situation: Sooner or later, you have to visit the websites for Seguridad Social, Extranjería, or Hacienda. Then there’s Cl@ve, the digital certificate (FNMT), Sede Electrónica, Mi Carpeta Ciudadana—I’m sure every expat eventually develops their own list of sites that make their eye twitch. English versions are either non-existent or limited. The user faces a wall of Spanish or Valencian text, illogical buttons, and intimidating legalese. I got my digital certificate (Certificado Digital) back in 2021, but I couldn't use it because I didn't know how to install or apply it. To get a simple residence certificate (padrón), I had to pay a gestor (to whom I had to give full access to my certificate).
What I Did: I stopped trying to understand the logic of Spanish developers. Now, I just take a screenshot of the page and write: "Explain to me step-by-step, like I'm five, how to download my 'certificado de empadronamiento.' I have a digital certificate, but I don't know where to click."
The Result: The difference between a simple translator and AI help is massive. The chat literally tells you where to click, where to enter a password, and how to solve the constant errors on government sites. No more paid requests through middlemen for a single piece of paper. Incidentally, AI helped me install the certificate in the first place. I photographed the paper with the password from the city hall, and the bot not only guided me through the steps but gave a practical tip: Spanish government sites often glitch in Chrome; it's better to install everything in Mozilla Firefox. This saved me a ton of time and stress.
The Situation: Any tenant in Spain will tell you: until the deposit is transferred, the agency is engaged and friendly. Once the commission is paid, the tenant is left alone with the owner and a fifteen-page contract in fine print. A socket breaks, a tap leaks—who pays for the repair? Can I get a cat, repaint the walls, or drive a nail into the wall?
What I Did: In the past, analysing a contract with a translator took several days. Now, I upload the contract PDF to ChatGPT and ask: "Study my rental agreement. My plumbing broke. Based on this text, who pays for the repair, and which clauses should I reference? Write a WhatsApp message to the landlord in Spanish asking them to call a technician and pay for the work."
The Result: The bot provides a clear answer with quotes and helps compose a professional message. Fretful apologies for the breakdown are replaced by a calm, legally sound dialogue.
A common real estate scenario involves the return of the deposit (fianza). Theoretically, the landlord must return it upon move-out. In practice, the picture is different. According to recent data from consumer protection organisations (like OCU), security deposit disputes consistently top the rankings of rental conflicts. Landlords use a thousand tricks to keep that money.
In my case, my child put a couple of stickers on an old, creaky twenty-year-old wardrobe. The landlady claimed she needed to hire a restorer and refused to return several thousand euros of the deposit. This was complicated by the fact that she spoke only Spanish.
I moved our entire conflict into ChatGPT. The AI helped build a solid line of defence. It didn't just turn emotional messages into factual ones for WhatsApp; it pointed out specific articles of the Urban Leasing Law (Ley de Arrendamientos Urbanos, LAU) and explained the concept of "natural wear and tear" to the owner. Thanks to this correspondence, I managed to get half the deposit back.
The Situation: In the first months after moving, out of slight panic, we often sign up for too much. Intermediaries took me to an Orange office, where I signed a contract. The result: for three mobile numbers without a home TV, I was paying over €200 a month. Local friends were shocked by such prices, but figuring it out without language skills was difficult.
What I Did: I took screenshots of my personal account, uploaded the detailed bills, and asked the AI: "Analyse my current contract and tariff. Look at the provider's current offers and break down what I'm paying for, what was pushed on me, and what I can cancel without losing the services I need."
The Result: The bot found a mass of hidden options (including TV streaming, though I don't even own a TV!) and wrote a letter to support demanding the removal of the extras. For years, I had been overpaying for nothing; now I pay about €80 for the necessary volume of services.
The Situation: Private health insurance (Seguro Médico) is mandatory for obtaining a residence permit. For years, people pay out of inertia because they fear the cancellation process. In Spain, you can't just stop paying: the contract must be terminated strictly two months before the renewal date, otherwise it renews automatically.
What I Did: I uploaded the policy to the chat. The bot calculated the critical date for a calendar reminder, and on the required day, wrote a formal letter (Baja de seguro) and provided the addresses for sending it. Predictably, the insurance company ignored the first request. I went back to the chat, and the bot drafted a second message—this time without pleasantries—backing it up with references to consumer protection laws (Ley General para la Defensa de los Consumidores y Usuarios) and the contract terms.
The Result: The contract was terminated, and the charges stopped.
The Situation: An old TIE card has expired, renewal documents have been submitted, but the new one will take months. Suddenly, the bank blocks the account and demands updated KYC data. In the app, only the "Upload new TIE" button is active. You feel a terrible sense of dread: you are in the country legally, but you can't even use your own bank account.
What I Did: I explained the situation to the AI and asked it to find a solution so the bank would restore access.
The Result: The bot instantly found the regulations governing the status of a foreigner during the document renewal stage and provided links to the necessary laws. It turned out that with the submission receipt (resguardo), the old card is considered valid. I wrote an official letter for me to the bank manager explaining their own rules and recommending which documents to attach. In the end, the bank accepted the renewal documents and restored access without needing a photo of a new TIE card.
The Situation: After the terrible floods in Valencia (DANA), our house was underwater by a floor and a half. When the water receded, the government announced subsidies for lost furniture. On paper, it sounds great, but in reality, chaos, stress, confusing decrees, and tight online application deadlines begin.
What I Did: I uploaded government bulletins (BOE and DOGV) into the chat and asked: "Do I meet these conditions? What receipts and photos are needed? How do I fill out this form?"
The Result: AI helped translate the "bureaucratese" into human language and guided me through the website step-by-step. I received compensation. Without AI, my attempts would have ended on the first page of the decree.
The Situation: Municipalities in Spain offer free Spanish courses at adult schools (Centros de Educación de Personas Adultas, EPA) for expats with a padrón. The irony is that to enrol, you must communicate with the administration in Spanish. The staff are often volunteers or retired local teachers who don't speak English.
What I Did: I asked the neural network to study the website of the local EPA in our town. The bot found the correct form, helped fill it out, fished out the contact details, and wrote a polite letter to the secretariat requesting enrollment.
The Result: I spent 10 minutes on it, and a week later, I was on the student list.
AI also saves the day in everyday minor matters. Like going to Druni and not having to explain the right hair dye shade with hand gestures, or decoding a voice message from a plumber. You can simply take the local butcher's WhatsApp number and ask the AI: "I need a set for meat jelly and beef tongue. How do I explain the right cuts to a Spanish butcher? Write a message in Spanish and ask to set the order aside for Saturday." The AI won't just translate word-for-word; it will select the names of meat cuts used specifically by locals.
ChatGPT will not replace a lawyer or a doctor. To prevent your assistant from confidently inventing non-existent laws due to algorithmic hallucinations, you should follow four rules:
AI will not replace a full knowledge of Spanish. If you plan to live in this country for a long time, learning the language is necessary for your own comfort, integration into the community, and respect for the culture.
But artificial intelligence has finally given us expats the opportunity to depend less on intermediaries, to stop fearing every official letter or notification from authorities, and the ability to quickly handle intimidating things—from bureaucracy to complex domestic issues.
AI won’t solve everything. But there is a huge chance that with its help, you will feel more confident.
